Record Coupon Use
Hold, use or return a customer's coupon from their customer page in the Hub, and keep the coupon's status accurate.
Coupon statuses
Each coupon on the customer page shows a status. It comes from the coupon's open holds and uses, compared with the number of uses the offer allows.
| Status | Meaning |
|---|---|
| Active | The coupon can still be held or used. |
| Held | Every available use is reserved by a hold. Use the hold or return it. |
| Used | Every available use has been applied. |
| Expired | The coupon has passed its expiry date. |
A coupon that allows more than one use shows how many are recorded, for example 2 of 3 uses, and stays Active until the last use is recorded.
Record an action
- Open the customer in the Hub.
- Find the coupon and select its Record use button. The Record Coupon Use panel opens.
- In Action, choose what to record.
- Select Record.
The panel only offers actions that can apply to the coupon, so an action that would be refused is not listed.
| Action | What it does | Extra fields |
|---|---|---|
| Hold | Reserves the coupon until it is used or returned. | Reference ID (optional) |
| Use | Applies the coupon. | Apply to, Discount Value (optional), Reference ID (optional, new uses) |
| Return | Reverses an earlier hold or use. | Hold or use to return (required) |
Use a held coupon
When the coupon has a hold, Apply to lists each hold as Convert Hold, followed by its reference. Choose one to turn that hold into a use. If a use is still free, you can also choose New use.
Return a hold or use
Choose Return, then pick the hold or use to reverse in Hold or use to return. A used coupon keeps its Record use button, so you can return a use that was recorded by mistake.
Reference IDs
A hold and the use or return that follows it are matched by their reference ID. If you leave Reference ID blank on a new hold or use, one is generated for you, in the form CARE- followed by eight characters. You can type your own, such as a transaction ID.
